Engraving Ideas & FAQs |
Engraving Ideas, Wording Tips & Custom OptionsThis guide covers the practical side of getting your engraving right — formatting rules, character limits, wording ideas by occasion, and how to handle special requests like perpetual plates, decorative elements, and extended copy. If you are looking for an overview of our engraving service, turnaround times, and materials, see our Trophy Engraving guide. TrophyCentral has been engraving trophies and plaques in-house since 1999. Every order is reviewed by a real person before it goes into production — which means if your text has a spacing issue, a line that is too long, or anything that looks like a typo, we will reach out before engraving begins. Line spacing adjusts based on the number of lines submitted and the plate size. For standard trophy name plates, our engravers handle the layout — you do not need to specify spacing or font size. For plaques, you can specify font style preferences in your order notes, or leave the formatting to our team. How many characters fit on a trophy name plate?A standard trophy name plate holds up to 28 characters per line, including spaces and punctuation, across 3 lines. That is roughly 84 total characters for name, award title, and date. Some larger trophy bases accept wider plates with additional capacity — product pages indicate when this applies. To stay within limits, abbreviate where natural: "Sportsmanship Award" rather than "Outstanding Sportsmanship and Leadership Award"; "2025" rather than "Season 2024–2025." If you are not sure your text will fit, contact us before ordering. How much text fits on a plaque?Plaques allow considerably more copy than trophies. A standard 9x12 walnut plaque can accommodate a full paragraph of recognition text. Larger plates, smaller font sizes, and multi-column layouts are all possible. If you have a long dedication in mind, note it in the Special Instructions field at checkout and our team will advise on the best layout before production begins. What fonts are available?Standard trophy name plates use a classic engraving font that reads cleanly at small sizes. For plaques, we offer a broader selection including block, script, and italic styles. Specify your preference in the order notes or the Special Instructions field at checkout. If no preference is given, our engravers will select the style that best suits the plate size and amount of text. 🛠️ Special Requests & Custom OptionsCan I add decorative elements or dividing lines?Yes. Special characters and simple decorative elements are available on standard plaques and larger trophy plates. All characters must be available on a standard keyboard. Common requests include:
Additional charges apply for each special decorative element. Contact us for current pricing. What if my text is longer than the standard fields allow? For trophies, our team will contact you if a submitted line exceeds the plate capacity and suggest options — a shorter version, a larger base with a wider plate, or a layout adjustment. For plaques, longer copy is common and rarely a problem. Use the Special Instructions field at checkout to describe what you have in mind, and our engravers will work out the layout before production. Additional charges may apply for extended engraving beyond standard field limits. Contact customer service for current pricing. Perpetual trophies: adding plates now and in the futurePerpetual trophies are designed to accumulate winner plates year after year. We can add blank plates to the sides and back of most perpetual trophy bases — either with your initial order or as a separate order in future years. Each plate includes mounting hardware and is engraved to match the existing plate style on your trophy. When planning a perpetual trophy program, consider these details up front:

These examples follow a simple structure — recipient name, award title, presenting organization, and date — and can be adapted for any occasion. For a broader collection, see our trophy wording samples and plaque wording ideas pages. Youth SportsTrophy (3 lines): Shorter version when lines are long: Tip: For participation trophies where every player receives one, including the team name and season on all awards creates a consistent keepsake set. Academic & School AwardsTrophy: Plaque (allows more copy): Tip: For school-wide award programs, standardize the format across all awards so the presentation looks cohesive. Decide in advance whether you are using full names or first names only. Corporate & Employee RecognitionPlaque — Employee of the Year: Plaque — Years of Service: Tip: For annual corporate awards, keep the format identical year over year. It makes each year's award feel part of a tradition rather than a one-off. Retirement & Milestone AwardsPlaque with dedication: Tip: Retirement plaques benefit from a warmer, more personal tone than standard achievement awards. A short phrase of genuine appreciation on the final line goes a long way. Coaching & Volunteer RecognitionTrophy: Plaque with message: Tip: Coach and volunteer awards often come from the group rather than an organization. Using "To" rather than "Presented to" and writing in the team's voice makes the award feel more personal. 💡 Pro Tips for Perfect Engraving✓ Count Characters Before SubmittingA standard trophy plate holds 28 characters per line. Count your longest line including spaces before ordering. "Most Valuable Player" is 20 characters — fine. "Outstanding Sportsmanship Award" is 31 — too long for one line. ✓ Match the Tone to the OccasionCorporate and academic awards call for formal language. Youth sports and volunteer recognition can be warmer and more personal. Retirement plaques benefit most from a human touch on the final line. Let the occasion guide the tone before you write the first word. ✓ Double-Check Names and DatesWe review every order before engraving, but we cannot catch a misspelled name we have never seen before. Verify recipient names, years, and any specific titles before submitting — especially for names with unusual spellings or hyphenated surnames. ✓ Plan Perpetual Awards in AdvanceIf the award will be re-engraved annually, decide on a consistent format before year one — same plate size, same line structure, same font. Inconsistency across years becomes visible quickly on a perpetual display. Order spare plates with your first order so future years match exactly.
